Quick question for business owners. Are you blogging for your business? Hhmmm, is that crickets I hear? Is there a reason you're not blogging? Do you wonder if blogging as simple as sitting down and churning out great prose? Yes and no. Sometimes the words just flow other times it would be easier to collect hen’s teeth than to write a post.<br />
<br />
Are there secrets that can help anyone grasp the blogging concept? Perhaps. I know that during my years of writing, the more than a million words I have penned and from the writing classes I've taught I’ve I found there are two kinds of people:<br />
<br />
<ol>
<li>I have a ton of ideas and don’t know what to do with them people, and</li>
<li>I can never find an idea people<a name='more'></a></li>
</ol>
<br />
There is very little in between. There are, however secrets to blogging that can appease both sides.<br />
<br />
<ul>
<li>If you are a person who has an overflowing wealth of blog post ideas, you need to carry a notebook and write them down when they come to you. That way they will be captured and <div class="separator" style="clear: both; text-align: center;">

available for future use and you don’t have to fret about losing one while you work on another.</li>
<li>If you’re a “never have an idea” person you need to also keep an idea notebook and jot down snippets of conversations you hear, words that appeal to you, questions that arise about even mundane things during the course of your day. If you don’t think you have ideas, it could simply be because you’re not actively looking for them or you’re not realizing that they are right in front of you.</li>
</ul>

Some tips for finding great ideas include (HINT: once you have great ideas, write them in an editorial calendar so you don’t lose them!):<br />

<ol>
<li>Blog about a topic you love. If you’re passionate, chances are you will be able to find topics. If you’re writing about a topic you don’t enjoy, it will be a chore.</li>
<li>Consider topics that you talk about with people in your niche all the time</li>
<li>Write about questions that people ask you about your niche</li>
<li>Write about a personal experience</li>
<li>Take to the Internet and search for ideas in your niche</li>
</ol>

Once you have a topic, here are ways to take that idea and wrestle it into a blog post:<br />

<ol>
<li>Write without editing yourself. Editing can come later. If the words are flowing, let them flow without worry about grammar, spelling or punctuation.</li>
<li>Write a headline first. In fact, take a half an hour a week and simply write headlines for potential blog topics. A headline can be the spark that will ignite the entire blog post. Keep a page in your idea journal where you only write potential headlines.</li>
<li>Polish the post. Once you’ve written it, let it sit for an hour or two then go back and edit. Add in backlinks. Drop in an interesting photo that highlights what you’ve written. Hit “publish.”</li>

Viola! While it may not be as easy at it sounds, it certainly isn’t as difficult as many people make it. Blogging should be a part of your overall marketing strategy.<br />

<li>This should be a no-brainer, but you need to hire the "right" people. To do that you need to know what you expect of them and their specific roles. Don't try to fit the "perfect" person into a role just because he or she may seem perfect on paper. Hire to fill the role you need filled. </li>
<li>Make sure your people are empowered to do their jobs. Sure there will be a training period, but once they've progressed past that timeframe let them do their jobs. Plain and simple. </li>
<li>If your employees don't understand your business's mission and vision, how can they be expected to carry it out? </li>
<li>Talk to them. Just as you talk with your upper management, you should talk to those on the shop floor as they are integral to your business's success. </li>
<li>Offer feedback. Constructive criticism is welcomed by most people if it will help them do better at their jobs. Offer a criticism that also provides a way for them to improve. </li>

Running a virtual business, such as my coaching business -- means I have to have access to Internet, electricity to run my computers and much more. I also need to make sure my computers and all of my systems are backed up in the event of a computer meltdown. <li>Have a plan in mind of how many people you want to meet at the event. If you know that, you will have a focus and a goal. </li>
<li>Get in touch with the event organizer and see if there is a Facebook group or other area in which attendees are gathering to "get to know" one another prior to the event. This is a great way for you to hone in on who you'd like to meet. </li>
<li>The event is not a place at which you will sell your widgets. The event should be looked at as a way to get to know potential clients. Once you meet someone, set up a time at a later date to get together to grab a coffee and see if you can work together. </li>
</ul>

Remember, if you see someone standing alone, approach them. If you're in a group and you see someone wandering around, looking lost, invite them into your group -- they will thank you for it. </div>

When you plan a vacation, let your clients and your staff know that you're away and that you will have limited access to the Internet. Plan occasional check-ins. Know that if you've hired well your office will function in your brief absence. </li>
<li>Attend networking events of conferences. You need to interact with others in your industry and you need to keep up with the latest trends. Also, attending networking events or conferences just may help you grow your business. </li>

Do you ever do exit interviews to find out why your people are leaving? It might be an eye-opening experience. You may find out that your employees are unhappy or unfulfilled or any number of other factors of dissatisfaction with their jobs in your company. While you may not be able to address all issues of dissatisfaction, there may be issues that you uncover that you can -- and likely should -- address if you want to keep any new hires.<br />

In many studies it's found that employees are dissatisfied if they feel they are being micro-managed. <br />

If you hired diligently you should have hired staff who are qualified to do the job for which they are hired and after a training period, let them do their jobs. If you don't want to lose your employees, consider changing these micromanaging traits:<br />

<li>Let them do their jobs. It's that simple. If your employees don't feel you appreciate their skills or respect their work ethic they will stop working. Plain and simple. </li>
<li>Provide training so the employee understands the nuances of your firm and how it works, and then let them do the jobs for which they were hired. </li>
<li>Make certain there are goals and expectations set that are reasonable and attainable. Benchmarks help everyone understand whether they are performing up to expectations and if not, you can address with them, why not. If they are meeting or exceeding expectations, then mention that. </li>

Here are tips to go into a deeper dive on creating a customer persona:<br />

<li>What pain points does your service or goods address? Who are the clients who could benefit the most from having those pain points erased? </li>
<li>Visit your ideal clients, those who you believe would benefit from your goods or services. If you can see them in action you can see how your goods or services could fit into their daily work routines. Getting out of the office is a better way to network than to continually network through social media. </li>
<li>Write down the characteristics of your current clients and how they use your goods or services. If you already have an active client base, they are your best first source for building a client persona. </li>
</ul>

Targeting your client base will help you be more productive and will help your bottom line better than chasing every client who comes along.<br />

<li>Work on smaller tasks first. Finishing off ten small tasks will give you the momentum of having completed something and that will spur you onward to complete complex, larger tasks. </li>
<li>Before you leave the office at the end of the day, put together a to-do list for the following day. Knowing what your plan is for the day ahead will help you jump in as soon as you step foot in the office. Having a to-do list will keep you on task and will also offer you a way to track what you've completed. </li>
<li>Give yourself permission to take a break. Stepping away from your desk and even getting out of your office will give you a much needed respite and will help you come back to face work with a refreshed, relaxed attitude. </li>

<li>Share your expertise and become a trusted resource in your industry. You can do this by blogging, sharing relevant content on social media and by speaking to industry groups. When you become the go-to person for your expertise, you will easily step out of your comfort zone. </li>
<li>Your conversations shouldn't always resolve around, “what can I sell you today?” You should think about, "who can I serve today.” This takes the fear of the sale out of your mind because if you believe in what you do and sell it should be easy to think about how your goods or services will help a potential client address a pain point. </li>
<li>Spend time every day to count your blessings. Consider how many clients you have. Count up the contacts you've made. Reach out to current clients and say, "Thank you." Send a follow up thank you note to a prospect and thank them for having given you some of their precious time -- which all business owners know is a precious commodity. A heartfelt thank you can go a long way in helping you, and your business, grow. </li>

<li><span style="font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Listen to your clients. If they come to you with a problem, listen to what they have to say before you start offering solutions.</span></li>
<li><span style="font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">If you can't deliver then don't say you can. It's better to turn down a gig than to accept it knowing your chance for follow through is slim. You will get more respect by saying, "I don't have the bandwidth for that but I know someone who does." What you've done is two fold -- you've offered to help your client find a solution or a service provider and you have made a referral to a colleague. </span></li>
<li><span style="font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">This may be a cliche but go the extra mile. So many service providers do what they said they would and that's that. If you take that additional step, offer an add on service, send a thank you -- you have gone the extra mile and that will be remembered. </span></li>
<li><span style="font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Provide an add on service. If you have something you can provide as an add on free of charge -- that won't break the bank or too much of your time, do it. Your client will remember that and will recommend you to his colleagues, perhaps based on that add on. </span></li>

<span style="font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Bonus tip: Say thank you to your clients. Pick up the phone on a regular basis and say "thank you for being my customer, I appreciate you." Those words will definitely set you apart. </span><br />

If they already like product or service A, why not talk to them about investing in product or service B or C. It's one way to enhance your sales path. <a name='more'></a></span></li>
<li><span style="background-color: white; color: #191919; font-family: 'Bookman Old Style', serif;">What if you committed to making one more phone call a day as part of your prospecting and marketing strategy. If you do that you can add in an additional 250 calls a year (at least) and that could net you more clients. You don't have to call ten additional people -- just one. </span></li>
<li><span style="color: #191919; font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Take at least one day a month for yourself and to hone your business skills. Take a class. Attend a seminar. Go to a networking meeting that has a learning component. Staying relevant is crucial to your continued viability. </span></li>
<li><span style="color: #191919; font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Ask for one testimonial.</span></li>
<li><span style="color: #191919; font-family: 'Bookman Old Style', serif; text-indent: -0.25in;">Ask for one referral from a satisfied client. </span></li>

Answer your phone one hour earlier or one hour later -- set yourself apart as having unconventional business hours (not so unconventional that you don't have a personal or family life, but as being open a bit earlier or a bit later so you can capture a potential client before he starts his work day!</span></li>

A number of years ago, we had a lighting strike right outside our building that burned out half of the communication ports on our PCs and dumb terminals. About $10,000 worth of damage and a real pain in the butt. After that, we isolated not only the power wires with surge protectors but also the communication wires that passed the low voltage back up through the system that caused the damage.<br />

<b>It happened to South Carolina…</b><br />
A hacking of the South Carolina tax department lead to 3.8 Million records being stolen by a foreign entity that used some sort of phishing email to penetrate the system. A simple click on a dubious email and wham, you got a problem. Using a credit card at a department store like Target or a hardware store like Home Depot -- who both had recent hack attacks -- can lead to your identity <br />

<b>It could happen to your company…</b><br />
Your employees can cause the problems by having weak passwords or by taking company records home on their own computers, tablets or phone. You are just a stolen car or lost equipment event away from a mad scurry to repair the damage. I just read that an eight-digit password made up of alphabet letters, symbols and numbers can be hacked in five hours or less by the computers out there today. The funny thing is that most of the hacking programs start with the obvious passwords like “password” or “12345678” or “myname1” and then they start with the brute force trial and error attacks.<br />
<br />
<b>And YOU could actually go to jail!</b><br />
Almost all companies have:<br />

<li>Employee social security numbers</li>
<li>HIPAA (health information) data</li>
<li>Company proprietary information</li>
<li>Customer supplied information. </li>
</ol>
All of this data must be secured either by law or by contract. Failure to secure this data can result in jail time and or large fines (for the SSN and HIPAA info) and possible loss of business in the case of the other two.<br />

<li>Most companies believe that just because they have data that isn’t that attractive (to them) that they have little to worry about. WRONG!</li>
<li>To top it off, many companies make it all too easy to access their computers physically or do not isolate them from risk.</li>

<li>Don't call Mondy morning or Friday afternoon. Chance are you don't want to talk then and chances are, neither does your prospect. Mondays are typically catch-up time from the weekend and Friday is slowing down time. </li>
<li>Leave a clear message with your name, your number, the reason for your call and the action you're requesting, ie...a call back, a meeting, etc.</li>
<li>If you're cold calling but have a connection to the prospect, mention it, ie. "Jack from XYZ Company said I should give you a call because (fill in the blank that shows the relevance)."</li>
</ul>

Make the best use of your phone call time and give the prospect a reason to call you back. </div>

<li>Try to stick to one issue. Don't muddle your message with multiple issues. If possible stick to one issue per email. If the email is regarding Company XYZ and there is more than one issue, it's all right to have more than one as long as it's related to a specific client.</li>
<li>Make your subject line clear, ie "Action needed on XYZ client" rather than "follow up on meeting."</li>
<li>Be brief, but polite. Don't ramble. Keep in mind that your client is just as busy as you are so be cognizant of his or her time. Don't forget a salutation and a closing.</li>
<li>Don't use slang or industry acronyms. Sometimes messages get lost in acronyms and unless you are truly clear that the recipient will understand without a shadow of a doubt what they mean, leave them out. </li>
</ul>

<li>How do they like to be communicated with? In your initial conversations you should be able to gauge whether a prospect prefers a text, an email, a face-to-face or a phone call. "Meet" them where they are comfortable.</li>
<li>Ask permission. This is especially important if you want to add someone to your e-newsletter mailing list. Having an e-newsletter sent to prospects and current clients regularly helps you stay in touch in a non-intrusive way.</li>
